How to Use the PTO Calculator
Four fields: Starting PTO Balance, how many hours accrue each pay period, how many pay periods have gone by this year, and how many hours you've already used. Current Balance updates from all four the moment any of them changes.
Accrued This Year = Accrual per Period × Pay Periods Elapsed
Current Balance = Starting Balance + Accrued This Year − Hours Used
Projected Annual Accrual (26 pay periods) = Accrual per Period × 26
4.62 hours per pay period is the default accrual rate, which works out to roughly 15 paid days off a year on a biweekly, 26-period pay schedule — a common benefits-package figure, but check your own pay stub or HR portal for the actual number, since accrual rates vary widely by employer and by tenure.
Projected Annual Accrual always assumes 26 pay periods regardless of how many have actually elapsed — it's a full-year projection at the current accrual rate, not a recalculation based on Pay Periods Elapsed, so it stays the same whether that field says 5 or 25.
If Hours Used ever outpaces what's been accrued plus the starting balance, Current Balance goes negative — some employers allow PTO to go into the red temporarily as an advance against future accrual, so this tool reports that number rather than blocking it.
